# Managing notifications

> Recipes for changing who gets notified about inspections and how customers are contacted.

This page holds recipes for common tasks. Pick the one that matches what you need to do. To understand what DVI is for, start with the [overview](/dealers/dvi/overview). To look up which notification goes to whom, see the [reference](/dealers/dvi/reference).

Your notification addresses live in **Location** settings, which you reach from the gear beside your shop name in the DVI form. See [getting started](/dealers/dvi/getting-started) if you haven't found it yet.

## Add someone to your notification emails

**When:** A new service writer joins, or you want a manager copied on approvals.

    Tap the gear beside your shop name, then choose **Location**.

    You'll see one field per address already on the list.
  </Step>

  <Step title="Tap Add email and type the new address">
    Add it below the existing ones so you don't change where replies go.
  </Step>

  <Step title="Save">
    **Save** appears only after you edit a field. The change applies to the next report you send.
  </Step>

  The new address appears in the list after you reload the page, and that person receives the next **Report sent** and approval email.
</Check>

<Note>
  You can list up to five addresses. If you need more people involved, use a shared inbox or a distribution list as one of the five.
</Note>

## Change where customer replies go

**When:** Replies are landing with the wrong person, or your service desk address changed.

The **first** address in the list is the reply-to address shown to customers. Their replies come back to your team, and everyone on the notification list gets a copy.

    Retype the first field with the address that should receive replies. Then add the old address to a lower field, so that person still gets notified.

    **Save** appears once you've changed something.

<Check>
  The **Customer replies go to this email** note sits under the address you want. Send yourself a test report and reply to it to confirm.
</Check>

<Warning>
  Don't just delete the old first address and let the second one move up. Retype the field instead. Deleting also removes that person from the notification list.

## Stop notifying someone

**When:** Someone leaves, or a manager is getting more email than they want.

    Use the **X** beside their field.

    **Save** appears once you've changed something.

<Warning>
  Keep at least one address. Empty the list and notifications fall back to your account's addresses instead — which may be head office rather than your shop, and you can't change those here.

## Text the report instead of emailing it

**When:** A customer never answers email, or gave you a mobile number but no address.

You choose this per customer, each time you send — not once in settings.

    Turn on both if you want to cover your bases.

  The text arrives with your shop name and a link to the report. Text needs a mobile number on the customer's record; email needs an address.

## Send the report to someone else as well

**When:** A spouse, a parent, or a fleet manager is the one who approves the work.

    Enter their name, then an email address, a mobile number, or both.

    Each contact has their own **Email** and **Text** choice, so you can email one person and text another.

  Everyone you added receives the report. They all open the same report link, so they see the same recommendations.

## A customer says they never got the report

**When:** You sent a report and the customer says nothing arrived.

Work through these in order:

1. **Check the address or number on the work order.** A typo in the email is the most common cause. Fix it on the inspection.
2. **Ask them to check spam.** Inspection reports come from a TireTutor address, which some mail providers filter the first time.
3. **Try the other channel.** If email isn't landing, send it again as a text.
4. **Send it again** from **Review & Send Report** once the details are corrected.

Did the report reach them, but your team never got the **Report sent** confirmation? Then the problem is your notification list, not the customer's details.

## Check who will be notified

**When:** You want to confirm your setup before you rely on it.

    Everyone listed gets the same notifications. There are no per-person settings.

    Run an inspection on any vehicle and send the report to your own address.
  </Step>

    It should land in every address on the list within a minute or two.
  </Step>

<Check>
  The confirmation reaches everyone you expect. If it reaches nobody, your location list is empty and notifications are going to your account's addresses instead.
