# Moving your email yourself

> Copy your old email to Google Workspace, Microsoft 365 or another email provider, then send new mail to the new provider.

This page shows you how to copy your store's email from your old email provider to a new one. You keep your old messages and your email addresses.

## Check what the copy moves

The copy uses IMAP, a standard way to read email on a server. Almost every email provider supports it.

* **Moves:** your email messages and your folders.
* **Does not move:** contacts and calendars. The steps below include them.

Your staff keeps using the old email while you copy. Nothing stops until you switch in the last step.

## Get ready

    Do not cancel your old email service yet. You cancel it only after you check the new mailboxes.

  <Step title="Get the details of your old email">
    Ask your old email provider for these details. If NetDriven hosts your email, ask NetDriven.

    * The IMAP server name, for example `mail.example.com`
    * The port, usually `993`
    * The security type, usually SSL or TLS
    * The user name and password of each mailbox
  </Step>

  <Step title="Test each password">
    Sign in to your old webmail with each user name and password. Fix any password that does not work now.
  </Step>

  <Step title="Set up your new email provider">
    Sign up with your new provider. Add your domain, for example `example.com`. The provider asks you to prove that you own the domain.
  </Step>

  <Step title="Create each mailbox">
    Create one mailbox for each old address. Use the same address, for example `service@example.com`.
  </Step>

  <Step title="Export your contacts and calendars">
    In your old email account, export your contacts and calendars to files. You import them in [Reconnect devices and import contacts](#reconnect-devices-and-import-contacts).

  <Step title="Leave your mail records as they are">
    Do not change your domain's mail records yet. New email must keep going to the old mailboxes until you switch.

## Copy your email to Google Workspace

You need an administrator account for your Google Workspace.

  <Step title="Open the import tool">
    In the Google Admin console, go to **Menu › Data › Data import & export › Data import**.
  </Step>

  <Step title="Choose IMAP">
    For IMAP, click **Import**.
  </Step>

  <Step title="Connect to your old email">
    Enter your IMAP server name in **IMAP server**.
  </Step>

  <Step title="Test the connection">
    Click **Test connection**. The screen shows **Connected**.
  </Step>

  <Step title="Fill in a mailbox">
    Fill in **IMAP email address**, **IMAP password** and **Workspace email address**.
  </Step>

  <Step title="Add the mailbox">
    Click **Add**. The mailbox appears in the list. Repeat the last two steps for each mailbox.
  </Step>

  <Step title="Start the copy">
    Click **Start import**. The status report shows **In progress**.
  </Step>

For more than 20 mailboxes, upload a CSV file instead. It has three columns: `Source ImapUser`, `Source ImapPassword` and `TargetGUser`.

The copy runs in the background. Large mailboxes take hours or days. The counts show how many messages copy and how many fail.

## Copy your email to Microsoft 365

You need an administrator account for your Microsoft 365. Microsoft also calls this Office 365.

    In the Exchange admin center, go to **Migration**.

  <Step title="Open Endpoints">
    Click **Endpoints**.
  </Step>

  <Step title="Add an endpoint">
    Click **Add**.
  </Step>

  <Step title="Connect to your old email">
    Choose **IMAP**. Type a name for the connection. Enter your IMAP server name in **IMAP server**. Click **Create**.
  </Step>

  <Step title="Go back to Migration">
    Go back to **Migration**.
  </Step>

  <Step title="Start a migration batch">
    Click **Add migration batch**.
  </Step>

  <Step title="Name the batch">
    Type a name with no spaces. Select **Migrate to Exchange Online**.
  </Step>

  <Step title="Choose IMAP">
    Select **IMAP migration**. Then select the connection that you created.
  </Step>

  <Step title="Add your mailboxes">
    Download the CSV template. Fill in one row for each mailbox. Click **Import CSV file** to upload it.
  </Step>

  <Step title="Save the batch">
    Finish the steps. Click **Save**.
  </Step>

  <Step title="Start the copy">
    Click **Done**.
  </Step>

The CSV file has three columns:

| Column | What to enter |
| - | - |
| `EmailAddress` | The new Microsoft 365 address |
| `UserName` | The user name of the old mailbox |
| `Password` | The password of the old mailbox |

To see the progress, select the batch. Then click **View details**.

## Copy your email to another provider

Most email providers have a tool that copies email from an IMAP server. Search your provider's help for "IMAP migration" or "import email". For example, Zoho Mail calls it **Data Migration**.

Each tool asks for the same details that you collected in [Get ready](#get-ready).

If your provider has no such tool, use an email app on a computer:

    In an email app such as Outlook or Thunderbird, add your old account and your new account.

  <Step title="Copy the folders">
    Copy each folder from the old account to the new account. Copy a few folders at a time.
  </Step>

  <Step title="Check the counts">
    Compare the number of messages in each folder.
  </Step>
</Steps>

## Switch your email to the new provider

Do this after the first copy finishes. Choose a quiet time, for example after the store closes.

    Your new provider shows the mail records, called MX records, for your domain. Copy them.
  </Step>

  <Step title="Send the new mail records">
    Send the new MX records to whoever manages your domain. The table below shows what happens next.
  </Step>

  <Step title="Wait for the change">
    Most new email reaches the new mailboxes within a few hours. Allow up to 72 hours.
  </Step>

  <Step title="Copy the last messages">
    Copy the email that reached the old mailboxes during the change. Use the method from the second table below.
  </Step>

| TireTutor, because your domain is moving to us | We add the new records. They start to work when your domain moves to TireTutor |
| Anyone else | Ask them to replace the old MX records with the new ones |

To copy the last messages, use the method for your new provider:

| Where you copied to | How to copy the last messages |
| - | - |
| Google Workspace | Run a delta import |
| Microsoft 365 | Leave the batch running for 72 hours. It copies new email once a day. Then select the batch and click **Delete** |
| Another provider's tool | Run the sync again |
| An email app | Copy the recent email again |

## Reconnect devices and import contacts

Each person adds the new account to their phone and their computer. Then they remove the old account.

Import the contacts and calendar files that you exported into the new account.

## How you know it worked

* Each address sends and receives a test email.
* Each new mailbox holds your oldest and your newest messages.
* New email arrives only in the new mailboxes.

When all three are true, you can cancel your old email service.

## If it doesn't work

| Problem | What to do |
| - | - |
| Sign-in fails for one mailbox | Sign in to the old webmail with that password. If 2-step sign-in is on, make an app password in the old account and use it instead |
| Sign-in fails for every mailbox | Check the IMAP server name, the port and the security type with your old provider |
| Some folders are missing | Run the copy again for that mailbox |
| New email still goes to the old mailbox | Wait. The change to your mail records can take up to 72 hours |
| New email bounces | Ask the person who manages your domain to check the MX records against your new provider |
