# Square Terminal

> Sign a Square Terminal in to your shop with a device code, and move a terminal that's already signed in somewhere else.

Pair a terminal with your Square location to take card payments from work orders. Generate its device code from **Settings** in TireTutor.

Follow the first procedure when the terminal shows Square's sign-in screen, and the second when another Square setup appears on the device.

## Before you start

You need these items:

* **A Square location mapped to your shop.** Open [**Settings → Integrations**](https://dealers.tiretutor.com/settings/organization/integrations). In the Square panel, use **Change location** when **Square location: Not set** appears.
* **Admin** access on the shop or its dealer. Without it, **Connect Square Terminal** is unavailable. Ask an **Owner** or **Admin** at your shop to grant access or to generate the code.
* **The terminal on your Wi-Fi.** A terminal that is off the network cannot redeem the code. Both procedures below include that step.

<Note>
  You can [take payment by link](/dealers/pos/managing-payment-links) before a terminal arrives. To order one, select **Buy a terminal**. Next, select **Continue to Square**; Square's website opens in a new tab.
</Note>

## Sign a terminal in

**When:** The terminal shows Square's sign-in screen.

## Set up a terminal that's already signed in

**When:** The terminal shows another Square setup instead of the sign-in screen.

<video controls title="Moving an existing Square Terminal to TireTutor" className="w-full aspect-video rounded-xl" src="https://solutions.tiretutor.ai/hubfs/Setting%20up%20an%20existing%20square%20terminal.mp4">
  Your browser can't play this video. It walks through moving a Square Terminal that's already signed in elsewhere, which the written steps below cover.
</video>

A terminal signs in to one place at a time. TireTutor cannot sign it out remotely, so sign out on the device.

<Note>
  A Square Point of Sale app sign-in needs one more step because signing out on the terminal alone does not clear it. Open [Square Dashboard → Devices](https://app.squareup.com/dashboard/devices). Select the device. Choose **Forget**. Then follow [Sign a terminal in](#sign-a-terminal-in).
</Note>

<Warning>
  Keep **This device only** when the terminal asks where to sign out. **Sign me out of all devices** signs out every terminal on these Square credentials.
</Warning>

<Steps>
  <Step title="Open More on the terminal">
    Select **More**, the last tab along the bottom of the screen.
  </Step>

  <Step title="Find the sign-out link">
    Scroll to the bottom. The **Sign out** link carries your business name, below **Customize** and above **Switch location**.
  </Step>

  <Step title="Start sign-out">
    Select **Sign out**.
  </Step>

  <Step title="Keep This device only">
    The terminal asks **Where do you want to sign out?** Keep **This device only** selected.
  </Step>

  <Step title="Confirm the sign-out">
    Select the red **Sign out** button at the top right. The terminal returns to the sign-in screen.
  </Step>

  <Step title="Open the terminal's settings">
    Select the unlabeled gear icon beside **Sign in**.
  </Step>

  <Step title="Open Network">
    Select **Network**.
  </Step>

  <Step title="Join your Wi-Fi">
    Choose your Wi-Fi.
  </Step>

  <Step title="Return to the sign-in screen">
    Select the back arrow.
  </Step>

  <Step title="Start sign-in">
    Select **Sign in**.
  </Step>

  <Step title="Use a device code">
    Select **Use a device code**.
  </Step>

  <Step title="Open the Square panel">
    In TireTutor, open [**Settings → Integrations**](https://dealers.tiretutor.com/settings/organization/integrations).
  </Step>

  <Step title="Generate the code">
    Select **Connect Square Terminal**.
  </Step>

  <Step title="Pair the terminal">
    Enter the code on the terminal.
  </Step>

  <Step title="Complete sign-in">
    Select **Sign in**.
  </Step>

  <Step title="Verify the connection">
    In TireTutor, select **Verify terminal is connected**.
  </Step>
</Steps>

TireTutor has no remote unpair action. Sign out on the terminal before you sell, return, or move it to another shop. If you no longer have the device, contact Square.

## Confirm the terminal is ready

**When:** You finished pairing, or the terminal does not take a payment.

Open [**Settings → Integrations**](https://dealers.tiretutor.com/settings/organization/integrations). In the Square panel, select **View terminals**.

Find the terminal. Review its **Status**.

| Column | What it tells you |
| - | - |
| **Device name** | The terminal name and Square device ID |
| **Connection** | **Device code** for a physical terminal paired with TireTutor, or **No device code** |
| **Status** | **Available** or **Offline** |
| **Square location** | The Square location for the device |
| **Paired** | The pairing date |

<Frame caption="The Square Terminals dialog listing two paired devices — one available, one offline.">
  <img src="https://mintcdn.com/tiretutor/YQTNOw3wAtHIIsvE/images/square-terminal/terminals-list-desktop.png?fit=max&auto=format&n=YQTNOw3wAtHIIsvE&q=85&s=99b327cbc9dfacdc45bd07b478d3bfa0" alt="Square Terminals dialog listing two devices in a table: Front counter marked Device code and Available, and Service bay marked Device code and Offline, each with its Square location and the date it was paired." width="1800" height="652" data-path="images/square-terminal/terminals-list-desktop.png" />
</Frame>

<Note>
  The dialog lists supported physical terminals with paired device codes at your mapped Square location. It is not Square's complete device inventory because it excludes mobile devices. Without a mapped location, the list covers paired terminals across the Square account's locations.
</Note>

<Tip>
  If you just powered on the terminal, select **Refresh** in the dialog. Square takes a moment to report a device as available.
</Tip>

<Check>
  The terminal appears with **Device code** and **Available**.
</Check>

## Choose which terminal takes a payment

**When:** Your shop has several terminals, or this browser needs a different terminal.

<Steps>
  <Step title="Open the terminal choice">
    On the work order, find the **Terminal:** row. It shows a terminal name or **Default**.
  </Step>

  <Step title="Open Choose a terminal">
    Select the swap icon beside it, labeled **Switch terminal**.
  </Step>

  <Step title="Check the status">
    Find the terminal you want. **Available** means Square reports it as available. **Offline** means Square does not report it as available.
  </Step>

  <Step title="Select the terminal">
    Select the row for that terminal.
  </Step>

  <Step title="Save the choice">
    Select **Save**.
  </Step>
</Steps>

<Check>
  The **Terminal:** row shows the selected device. TireTutor remembers the choice in this browser for this shop.
</Check>

To remove this browser's preference, open **Choose a terminal**. Select **Clear selection**.

Without a preference, TireTutor chooses the first paired physical terminal Square lists for the location. If the shop has only one, TireTutor chooses that terminal. This choice doesn't check availability, so select an **Available** terminal before you take a payment.

To rename a terminal, expand **How terminal selection works** in **Choose a terminal**. It shows the on-device path to **Device name**.

## When a terminal cannot take payments

Select **Connection health** in the Square panel first. The dialog identifies Square connection and setup issues.

Check these terminal-specific states:

* **Someone signed in to the Square Point of Sale app on the terminal.** TireTutor refuses the charge with **Not fully integrated with TireTutor POS**, and signing out on the terminal alone does not clear it. Open [Square Dashboard → Devices](https://app.squareup.com/dashboard/devices). Select the device. Choose **Forget**. Then pair it again with a device code.
* **A terminal shows Offline.** Check its power and its Wi-Fi connection. Select **Refresh** in **Square Terminals**.
* **A row shows Signed into a different Square location.** TireTutor refuses the charge with **Paired at a different location**. Sign out on the device. Pair it again with a device code generated from this shop.
* **A terminal is missing.** Pair it with **Connect Square Terminal** and a device code.

### Resolve a pending payment

<Warning>
  **Override Payment Pending** changes the work order's status. It does not cancel the payment in Square. Before retrying, confirm in Square that the original payment did not complete.
</Warning>

An **Owner** or **Admin** can return a work order at **Payment Pending** to **In Progress**. Then you can take the payment again.

<Steps>
  <Step title="Open the work order">
    Open the affected work order.
  </Step>

  <Step title="Open More Options">
    Select **More Options**, the three-dot button next to **Print Invoice**.
  </Step>

  <Step title="Select Override Payment Pending">
    Select **Override Payment Pending**. **Void Work Order** is not in the menu while the payment is pending. It returns when the work order is **In Progress**.

    <Frame caption="More Options on a work order at Payment Pending.">

    </Frame>
  </Step>

  <Step title="Select Override">
    Select **Override**. The dialog says the work order goes back to **In Progress**. **Cancel** closes the dialog and keeps **Payment Pending**.

    </Frame>
  </Step>

  <Step title="Take the payment again">
    The work order shows **In Progress**. Take the payment on the terminal, or use a different payment method.
  </Step>
</Steps>

If the work order belongs to another shop, it opens in view-only mode without **More Options**. To change to that shop, select **Switch** in the view-only banner.

If the terminal still cannot take payments, contact support with the terminal's device name and the **Connection health** result.

<Note>
  A paired terminal is not required for [payment links](/dealers/pos/managing-payment-links).

## Common questions

<AccordionGroup>
  <Accordion title="How can I identify a device-code terminal?">
    Look at the idle screen. A paired terminal shows **Powered by Square** and waits. Sales come from TireTutor.

    A Square Point of Sale sign-in prevents TireTutor from sending payments to that terminal.
  </Accordion>

  <Accordion title="Why does an available terminal reject TireTutor payments?">
    **Available** means Square can reach the device. It does not mean TireTutor can send payments to it. If someone signed in to Square's own app on that terminal, forget the device in [Square Dashboard → Devices](https://app.squareup.com/dashboard/devices). Then pair it again with a device code.
  </Accordion>

  <Accordion title="Why does Connection health pass while one terminal fails?">
    **Connection health** checks the shop's Square connection. It does not inspect the active app on each device.
  </Accordion>

  <Accordion title="Why is a terminal missing from Square Terminals?">
    Pair the terminal with a TireTutor device code. A Square account sign-in does not create that pairing.
  </Accordion>

  <Accordion title="Can one terminal run Square and TireTutor together?">
    Use one sign-in method at a time. Pair the terminal with a device code for TireTutor payments.
