Set up your notification emails, run your first inspection, and send the report to a customer.
This tutorial walks you through setting up DVI and sending your first inspection report. You’ll know it’s working when the report reaches your customer and the confirmation email reaches your team.Set aside about fifteen minutes, and use a real vehicle that’s in your bay.
A new location has no notification addresses of its own. Until you add some, notifications fall back to whatever your account has set — which may be head office rather than your service desk, and you can’t change it from here. So that’s step one.
Start from the work order for the vehicle in your bay, and open the inspection from there. DVI arrives with the work order, vehicle, and customer already attached — that’s why you start from the work order rather than opening DVI on its own. You’ll know you’re in the right place when your shop name appears under the AI Digital Vehicle Inspection heading.
2
Tap the gear beside your shop name
It sits just to the right of the name. There’s no label on it — look for the small gear.
The gear beside your shop name opens settings.
3
Choose Location
Settings opens with two choices, Location and Account. Pick Location.
Settings opens on the Location tab.
4
Scroll to Notification Emails and add your addresses
Type an address, then use Add email for each extra person. The first address in the list is where customer replies go, so put your service desk first.
The first address in the list receives customer replies.
5
Save
Save and Discard changes only appear once you’ve edited something, so don’t go looking for a Save button before you start typing. Tap Save, then head back to your inspection.
Your addresses stay in the list after you reload the page. Five is the limit — Add email disappears once you have five.
The work order, vehicle, and customer usually arrive already filled in. Fix anything that looks wrong before you go further. The customer’s email and phone decide how the report can reach them.
2
Rate each item
Work through the sections and mark every item OK, Suggested, or Required. Add measurements where you have them, like tread depth or pad thickness.
3
Take photos of anything you're recommending
Photograph the worn part itself. A picture of a thin brake pad explains the recommendation better than a sentence can.
4
Add your notes
Say what you found in plain language. The customer reads these.
5
Save the inspection
Your work saves as you go, so you can put the phone down and come back to it.
Every item you inspected shows a rating, and nothing you meant to recommend is still marked Pending.
The button sits at the end of the inspection, after the last section. Make sure mileage and customer name are filled in — it checks for both. You’ll be asked Add a Walkthrough Video? if you haven’t recorded one. Continue Without Video moves on.
2
Review what the customer will see
The AI Inspection Report panel opens, with Inspection Summary and Service Recommendations. Draft the summary, check the services, and set your own prices — the suggested amounts are national-average estimates. See performing an inspection for each of those tasks.
3
Tap Send Report
The button sits at the bottom of the panel. If you haven’t drafted a summary, it asks first — the report can go without one, but a summary is the part customers actually read.
4
Pick how to reach them
Turn on email, text, or both. Email needs an address on file, and text needs a mobile number.
5
Add anyone else who should get it
Use Add Contact for a spouse, a fleet manager, or whoever signs off. Each contact gets their own email and text choice.
6
Send
The report goes out, and your team gets a confirmation email.
Within a minute or two, the customer has the report and a Report sent confirmation lands in your notification inbox. If the confirmation doesn’t arrive, check the addresses in step 1.
