Use the work order to collect the balance and keep each payment with the repair record.

Before you start

  • Connect Square and complete the required checks in Square setup.
  • Assign a customer to the work order. Without one, Process Payment shows Assign a customer to this work order first.

Take a payment

When: The customer is ready to pay all or part of the work order balance.

Open Process Payment

Open the customer’s work order. Select Process Payment.

Choose a payment method

Choose one of these options under Payment Method:

Enter the amount

Enter the payment in Amount. Use less than the balance to record a partial payment, such as a deposit. The full balance completes the work order.

Add the payment details

For cash, review Change Due or No Change Due. Complete Notes or Reference / Auth # when the field appears.

Submit the payment

Select Submit.
Bill to National Account appears when the customer record has a National Account Provider selected. Some shops also see Account Credit or Other — contact support to turn either on for your shop.
The Payments line includes the payment.

Take a card payment on a terminal

When: The customer is present with a card or contactless wallet. For a customer on the phone, use Taking a card over the phone instead — this method sends the charge to your terminal.

Choose Credit/Debit Card

In Process Payment, select Credit/Debit Card. Enter the Amount.

Submit the card payment

Select Submit.

Check the terminal

TireTutor shows Success! Please check your terminal and follow the instructions provided.

Follow the Square Terminal prompts

Square handles the card prompts on the terminal. TireTutor requests a signature for every terminal checkout.

Wait for the terminal to finish

The work order shows Payment Pending until the terminal completes the payment.
If Payment Pending does not clear, use the terminal troubleshooting steps.

Send the receipt

Square controls receipt delivery, so check the receipt options on the terminal. When the record has no email address, TireTutor shows this warning: No customer email, email receipt will NOT be sent to customer TireTutor does not offer receipt delivery choices; Square handles receipts and signatures on the terminal.

Review payment history

Select the Payments line on the work order. The payment history shows these columns:
  • Date & Time
  • Type
  • Paid
  • Refunded
  • Card
  • Notes
  • Action
A fully refunded payment shows the Refunded chip.

Issue a refund

When: You need to return part or all of a payment taken through Square. The refund goes back to the card through Square. For a payment with no Square transaction, such as cash, TireTutor tells you it can’t refund the payment here.

Open the payment history

Select the Payments line on the work order.

Start the refund

Find the payment. Select Refund in its Action column.

Enter the refund amount

In Issue a Refund, enter the Refund Amount. The field shows the maximum available.

Review the destination

Check Refund to.

Submit the refund

Select Issue Refund.
TireTutor shows Refund Issued with a 3 to 5 business day processing estimate. The payment history shows the amount under Refunded.
